Getting a big group to the desert without losing the first day to it

We get some version of this question on nearly every booking call: how does everyone get here. It's a fair question. The Coachella Valley sits far enough from a major airport that "fly in" isn't automatically the easy answer, and far enough from Los Angeles that "just drive" isn't either. The right answer depends on the group, and most groups don't think about it until a week before the trip, which is later than it should be decided.

The small airport is usually the right call

Palm Springs International sits inside the valley itself, a short drive from most of our homes. It's a small regional airport, not a hub, so flights in are often a connection through somewhere larger and can cost more than flying into Los Angeles or Ontario. For a group of eight or more, that tradeoff is almost always worth it anyway. Landing in the valley means the trip starts the moment you're off the plane, not ninety minutes and a rental counter later.

Ontario is the usual alternative when the dates or the airline don't cooperate with PSP. It's a more manageable drive than LAX — roughly two hours depending on traffic — with less of the freeway grind that makes the LAX option feel longer than it is. LAX itself works fine for one or two travelers meeting the rest of the group later. For sixteen people landing at the same time, it's rarely worth the extra hour and the bigger terminal.

The LA drive, if you're going that way

A decent share of our groups drive in from Los Angeles, Orange County, or San Diego rather than fly at all, especially when a few cars are already making the trip from different directions. The drive from LA runs a little over two hours outside of Friday afternoon traffic, which is the one window worth planning around. Leave before noon or well after the evening rush and the drive is easy. Leave at 3pm on a Friday with the rest of Southern California and it isn't.

If your group is driving from multiple cities, pick a rough arrival window and share it before anyone leaves. A trip settles faster when the group lands together instead of trickling in across six hours while the first arrivals sit in a hot driveway wondering where everyone else is.

The rental car math nobody does ahead of time

Here's the part that catches groups off guard: however many cars you think you need, a big group usually needs one more. Sixteen people rarely travel in exactly four cars. Someone's bringing golf clubs, someone's got a car seat, someone flew in separately and needs their own. Work out the actual headcount per car before you book rental cars, not after, because the valley's rental counters sell out of full-size SUVs during busy weekends faster than people expect.

Parking at the house is the other half of that math. Driveway capacity is different at every property, and it's exactly the kind of detail a booking platform listing won't surface but we will, on the phone, before you've committed to a house that can't hold your cars. Our large group homes list bedroom counts clearly. Ask us about parking the same way you'd ask about beds.

Staggered arrivals are normal — plan for them, don't fight them

Not everyone lands at the same time, and that's fine. What matters is having a plan for who's at the house first. Whoever arrives earliest should have the door code and know where the thermostat is, so the group isn't standing in a hot driveway waiting on one person's flight. If you've got a property manager or a check-in contact, as you do with us, that first arrival is even easier — someone's walked the house that morning and the pool's already running.

This is the one part of the trip that has nothing to do with the house and everything to do with the week going smoothly anyway.
